TERMS AND CONDITIONS

These terms and conditions outline the rules and regulations for all stays booked with CLOUD CITADEL and the use of CLOUD CITADEL’s website.

By accessing this website we assume you accept these terms and conditions in full. Do not continue to use CLOUD CITADEL’s website if you do not accept all of the terms and conditions stated on this page.

The following terminology applies to these Terms and Conditions, and any other Agreements: “Client”, “Guest”, “You” and “Your” refers to you, the person accessing this website, booking a stay and accepting the Company’s terms and conditions. “The Company”, “Ourselves”, “We”, “Our” and “Us”, refers to our Company. “Party”, “Parties”, or “Us”, refers to both the Client and ourselves, or either the Client or ourselves. All terms refer to the offer, acceptance and consideration of payment necessary to undertake the process of our assistance to the Client in the most appropriate manner, whether by formal meetings of a fixed duration, or any other means, for the express purpose of meeting the Client’s needs in respect of provision of the Company’s stated services/products, in accordance with and subject to, prevailing law of. Any use of the above terminology or other words in the singular, plural, capitalisation and/or he/she or they, are taken as interchangeable and therefore as referring to the same.

Booking conditions

Your booking at CLOUD CITADEL is considered confirmed when you receive the confirmation email. A deposit of 50% of the total amount will be charged at the beginning of the month preceding your arrival. Full payment (the remaining 50%) will be charged at the beginning of the month of your arrival. If you book a stay that starts in less than 30 days, we will charge you right away 100%. Invoices are only issued after the total amount has been paid.

Applicable to all bookings starting from 01/01/2024 (in replacement of the previous paragraph)

Your booking at CLOUD CITADEL is considered confirmed, when we receive a deposit payment and send a written confirmation of the reservation via email. A deposit of 50% of the total amount is necessary to confirm the booking. Full payment (the remaining 50%) is due 30 days prior to the arrival date. Invoices are only issued after the total amount has been paid.

In the case of a group booking the group leader or « lead name » must have the authority to sign on behalf of everyone in the group. The lead name will be responsible for the full cost of the stay including insurance premiums, cancellations and amendment charges. No booking contract exists between CLOUD CITADEL and the client until the booking form has been received. 

We reserve the right to refuse or to accept bookings in our absolute discretion. Please inform us immediately if there are any discrepancies in the costs or details of your booking.

Pricing

The prices indicated on CLOUD CITADEL’s website include accommodation, 24/7 access to coworking spaces, zoom room and all our facilities, VAT (10 %), tourist tax (0.75 € per person per night), free tea, free coffee and much more. See What you get page. The prices don’t include laundry, gear rental or any meal prepared at the coliving, which will have to be paid extra. No stay booked before the implementation of a promotional offer will be refunded, even partially. The minimum booking requirement is 14 nights. If, in some exceptional circumstances, a guest stays less than than 14 nights, an extra 5 € per night will be applied to the booking.

Upon making your booking the price of your stay will not normally be subject to change, however we reserve the right to increase or decrease prices. CLOUD CITADEL has the right to cancel a person’s place if the full deposit payment is not received punctually.

Cancellation policy

If you are obliged to cancel your booking please contact us as soon as possible. Here after is our cancellation policy refund of deposits for cancellations:

  • If the guest cancels more than 30 days before the arrival date, the total of the deposit (50% of total amount) will be refunded.
  • If the guest cancels less than 30 days before the arrival date, the deposit is non-refundable. A voucher of the amount of the payment will be offered to the guest. This voucher is valid for 18 months from the date of cancellation.
  • If the guest arrives and decides to leave earlier than scheduled, in the case of a no-show or cancels the booking after the arrival date, full payment is required.

Booking alteration

Alterations are only possible if informed 30 days prior to arrival. Once the deposit has been received by CLOUD CITADEL, any booking alteration to shorten the stay will be charged a penalty fee of 100 EUR. Once the full payment has been received by CLOUD CITADEL, no reimbursement will be made if the guest decides to leave earlier than the date of departure or if the guest comes later than the date of arrival.

Travel documents

It is the guests’ responsibility to ensure that they have the correct visas and other appropriate travel documents for entry into France. All costs incurred in obtaining such documentation must be paid by the guest. We regret we cannot accept any liability if the guests are refused entry onto any transport or into the country due to failure on their part to carry all required documentation. If failure to have any necessary travel or other documents result in fines, surcharges or other financial penalty or expenses being imposed on or incurred by us, guests will be responsible for reimbursing accordingly.

Accidents, injuries or death

It is strongly recommended that you have a valid travel insurance that covers your loss for unforeseen circumstances or accidents; such as illness, family emergencies or other situations that may affect your travel plans. CLOUD CITADEL can not be held responsible in case of injuries, accident or death. Any injuries, accidents or death that occur during the stay at CLOUD CITADEL has to be covered by the guest’s personal insurance or expenses.

Damages

CLOUD CITADEL accepts no responsibility for loss, theft or damage to persons or property during their stay. In case of damage or theft that a guest causes to the property, they will be held responsible and required to reimburse CLOUD CITADEL up to the amount of the damage. In such a case, CLOUD CITADEL will send an invoice that must be paid within 30 days upon reception.

Use of outdoor gear

CLOUD CITADEL puts at the disposal of its guests sports or outdoor gear, including Via Ferrata sets (harness, lanyard, helmet and gloves), electric bikes, slackline, and other types of equipment.

By accepting these Terms and Conditions, the guest understands and accepts that using this equipment and practicing these sports exposes them to many hazards and entails unavoidable risk of death, personal injury and loss of or damage to property. They also understand they should be in good physical health to practice these sports. They choose to practice these sports in spite of these risks and hereby assume all risk of injury or loss of life to themselves and loss of or damage to property arising out of using this equipment. They understand the inherent risk involved in using this equipment and accept full responsibility for any and all such damage or injury which may result.

In consideration of CLOUD CITADEL that made available this equipment, they specifically release and forever discharge CLOUD CITADEL, its managers and its employees from any and all liability or claims for injury, illness, death or loss of or damage to property which they may suffer while using this equipment and practicing these sports, whether caused by CLOUD CITADEL or whether based upon breach of contract, breach of warranty, or any other legal theory.

The guest agrees to return this equipment in clean, undamaged condition to avoid any additional charges for repair, maintenance or replacement. They accept to use the equipment, as is, in good condition and accept full responsibility for care of the equipment while under their possession. Damaged parts or components will be repaired/replaced and they agree to pay regular rates for components that need to be replaced. Clean condition means normal wear and tear is accepted.

Conduct during the stay

1. Treat the staff and other residents with respect

We are an inclusive community. We encourage diversity and this means we have people with different levels of income, education, backgrounds & culture. We have a no-tolerance policy for the following.

  • Bullying, defaming, abusing, harassing, harming or threatening anyone (including our staff) during your stay at CLOUD CITADEL is ground for immediate dismissal with no compensation.
  • Making any bigoted, hateful, or racially offensive statements during your stay at CLOUD CITADEL is not allowed.
  • You may not advocate illegal activity or discuss illegal activities with the intent to commit them or cause injury or property damage to any person.

2. Be proactive in creating your own experience

We have three Community Managers onsite to facilitate your coliving experience. Their tasks include:

  • Facilitate the organisation of activities
  • Checkin & checkout the guests
  • Help you with basic issues

Keep in mind that they have a part-time position and therefore are not a 24/7 concierge service. They will gladly guide you to create your own experiences and events, but it is up to you to take the lead and organize the activities and events you’d like to see happen.

3. Report any relevant feedback to the Community Managers

If you encounter any issue with the house, the other residents, or something not up to your expectations, please contact one of our community managers to explain your situation. We can solve problems only if we know about them and we will do our best to solve any issue as quickly as we can. Please keep in mind that depending on the level of the problem it can take a significant amount of time.

4. Follow our house-specific rules to keep the house tidy and noise level low

We have a cleaning professional coming five days per week. However, for the wellbeing of the community, we expect the residents to keep the house tidy and clean after themselves. We have a no-noise policy after 10:30 pm during the week and 12:30 am on Friday and Saturday. Our residents are working and we want to ensure everyone has a productive stay.

5. Inviting friend and acquaintances

Creating a safe environment for the colivers is of utmost importance for us. We therefore don’t accept any acquaintances, friends or family members to enter the house. Aiding an unauthorised person to access the house is grounds for removal. 

We reserve the right to refuse to further accommodate guests behaving irresponsibly and contractual obligations will be terminated. We reserve the right to stop all communications with guests disrespecting our code of conduct and will be blocking them from our social media channels, our internal communication channels, and our email list.

Pets

Pets are not allowed at Cloud Citadel.

Arrival / Departure

Please have a look at the pages What you get, Getting here and FAQ. After your booking is confirmed, we will send you a welcome email containing recommendations about how to access CLOUD CITADEL. We can not be held responsible for missed flights, public transportation deficiencies or hotel stay expenses because of a missed connection. Couple days prior to your arrival, we will invite you to our Slack and send you a link to our Notion where you will find a lot of useful information.

Check-in time is after 3:00 pm. If you arrive earlier, you can access the house, but will probably have to wait until your room is ready. If you arrive late in the evening, we will send you the information about how to access the house and your room, and will give you a proper tour the next day. Check-out time is 10:00 am. If you plan to leave later, you can stay in the house, but you will have to free your room or dorm bed.

You must not republish material from https://cloudcitadel.co/, sell, rent or sub-license material from https://cloudcitadel.co/, reproduce, duplicate or copy material from https://cloudcitadel.co/, redistribute content from CLOUD CITADEL (unless content is specifically made for redistribution). The following organizations may link to our website without prior written approval: government agencies, search engines, news organizations, online directory distributors when they list us in the directory may link to our website in the same manner as they hyperlink to the websites of other listed businesses.

User consent to receive communications in electronic form

For contractual purposes, you: (a) consent to receive communications from us in an electronic form via the email address you have submitted; and (b) agree that all Terms and Conditions, agreements, notices, disclosures, and other communications that we provide to you electronically satisfy any legal requirement that such communications would satisfy if it were in writing. General terms

If any part of these Terms and Conditions is held or found to be invalid or unenforceable, that portion of the agreement will be construed as to be consistent with applicable law while the remaining portions of the agreement will remain in full force and effect. Any failure on our part to enforce any provision of this agreement will not be considered a waiver of our right to enforce such provision. Our rights under this agreement survive any transfer or termination of this agreement. You agree that any cause of action related to or arising out of your relationship with the Company must commence within ONE year after the cause of action accrues. Otherwise, such cause of action is permanently barred. These Terms and Conditions and your use of the website are governed by the laws of France, without regard to conflict of law provisions. We may assign or delegate these Terms and Conditions in whole or in part, to any person or entity at any time with or without your consent. You may not assign or delegate any rights or obligations under the Terms and Conditions without our prior written consent, and any unauthorised assignment or delegation by you is void. We reserve the right to change these Terms and Conditions at any time without prior notice.


YOU ACKNOWLEDGE THAT YOU HAVE READ THESE TERMS AND CONDITIONS, UNDERSTAND THE TERMS AND CONDITIONS, AND WILL BE BOUND BY THESE TERMS AND CONDITIONS. YOU FURTHER ACKNOWLEDGE THAT THESE TERMS AND CONDITIONS AT www.cloudcitadel.co/terms-and-conditions REPRESENT THE COMPLETE AND EXCLUSIVE STATEMENT OF THE AGREEMENT BETWEEN US AND THAT IT SUPERSEDES ANY PROPOSAL OR PRIOR AGREEMENT ORAL OR WRITTEN, AND ANY OTHER COMMUNICATIONS BETWEEN US RELATING TO THE SUBJECT MATTER OF THIS AGREEMENT.
